The Administrative Assistant will be based in the Boston corporate office and will have responsibility for providing administrative support. This position will provide back-up to the Treasury Assistant as well as assist the staff within these functions. This position will report to the Treasury Manager.
General Responsibilities:
Backup to the Treasury Assistant. This person will learn to be the full backup for the Treasury Assistant. This position would provide a third person in the Treasury Department to allow transfers to be initiated and released in the event a person is out without involving the CFO.
General clerical duties to include, but not limited to: photocopying, faxing mailing, scanning, shredding and filing;
Preparation of correspondence, engagement letters, Avid conversion letters and daily maintenance of corporate vendors, signature cards, reports, and audit confirms.
Scheduling of the six monthly meetings for Accounting, Development, AP and Corporate as well as coordinating space for auditors.
Distribution and management of incoming/outgoing mail, distribution of bank statements. (Erica now handling bank statements)
Organize supplies and maintain copy room. (AP is doing this now)
Provide support to staff related to project activities, event scheduling, and other document preparation;
Be key person to manage Accounting Department’s initiative to go “paperless”. Maintenance of files; Accounts Payable, Accounting and Treasury files.
Other duties as assigned.
Qualifications:
Excellence in Microsoft Office programs (Word, Excel, Project, PowerPoint, etc.);
Ability to convey issues and problems clearly both in writing and orally;
Ability to operate office equipment;
Capable of working with minimal supervision and perform effectively under tight time deadlines.
Ability to multitask and handle a diversified workload.
